HubSpot API Integration

HubSpot combines CRM and marketing automation in one place. We connect it to your operational systems so its automation runs on facts rather than form fills.

Overview

What the HubSpot API actually gives you.

HubSpot's appeal is that marketing and sales share one view of the customer. That holds right up to the point where what the customer actually bought, booked, or cancelled lives in a different system — at which point the automation starts acting on a partial picture, and someone gets a nurture email about a product they already own.

Integration fixes the input. Contacts and companies synchronised with your records, deals moved by real events, and your own operational data available as properties that workflows and segmentation can use.

Capabilities

The parts you will actually use.

  • Contacts & companies — kept current from your operational and billing systems rather than from whatever was typed into a form.
  • Deals & pipelines — stages advanced by actual events, so the pipeline is a report rather than an opinion.
  • Custom properties — your own data on the record, which is what makes segmentation and workflows worth running.
  • Workflows — triggered by real customer behaviour from outside HubSpot.
  • Forms & tracking — submissions routed into the systems that need to act on them.
  • Reporting — marketing and sales data joined to revenue, so attribution means something.
Scope

Where these projects actually get hard.

Reading the documentation is the easy half. These are the areas that decide whether an integration takes weeks or months — and the ones we scope carefully before quoting.

  • Tier gates features. A perfectly reasonable design can turn out to need a more expensive subscription. Checking what your tier actually permits belongs at the start of a project, not in the middle.
  • Workflows and integrations can fight. HubSpot's own automation reacting to writes your integration makes — and sometimes triggering more writes — is a real and difficult failure mode to unpick at volume.
  • Contact identity. Deduplication and matching across systems is the usual source of trouble, and duplicates in a marketing platform mean duplicate sends.
  • Property sprawl. It is easy to add custom properties and very hard to remove them later. A little discipline early saves a great deal of confusion.
  • Consent and subscription state. This has to be authoritative somewhere and respected everywhere. It is a compliance matter, not a preference.
  • Limits apply. Historical backfills and ongoing sync have different limit profiles and need designing separately.
Our take

Which route is right for you.

HubSpot is well built and its pricing climbs quickly as you add seats and tiers. Where it is the hub your team genuinely works in, integrating it properly is the right investment.

Where the reality is a CRM plus some email automation, the same job can be done with EspoCRM or Twenty alongside Mautic, hosted and managed by us at server cost rather than per seat. We build and run both routes, and we will tell you which one your situation actually calls for.

What we build

Work we take on.

  • Operational sync — orders, bookings, and account changes into HubSpot as properties and events.
  • Deal automation — pipelines driven by real activity, not manual stage changes.
  • Lead routing — form submissions and enquiries into the right place, with alerting.
  • Finance connection — invoices and payments reflected so sales and finance agree.
  • Reporting pipelines — HubSpot data joined to revenue for attribution that survives scrutiny.
  • Migration — onto or off HubSpot with history preserved.
FAQ

Common questions

Can HubSpot deals update automatically from our systems?

Yes, and it is the change most teams feel immediately — the pipeline starts reflecting what has actually happened instead of what someone remembered to update. The care needed is in avoiding loops between your writes and HubSpot's own workflows.

Does our subscription tier limit what you can build?

Sometimes, yes, and it is worth checking before design rather than after. Certain capabilities sit behind higher tiers, and we would rather tell you that up front than present you with a surprise upgrade cost mid-project.

Can you connect HubSpot to our accounting system?

Yes, and it is a common request because it ends the standing disagreement between sales and finance about what was actually invoiced. See our Xero and QuickBooks pages for the other half of that.

HubSpot costs are climbing. Is there a cheaper setup?

Possibly. If what you need is a CRM plus email automation, self-hosted EspoCRM or Twenty with Mautic covers it at server cost rather than per seat, and we manage both. If you are deep into HubSpot's wider ecosystem, moving will likely cost more than it saves.

Can you fix an integration that keeps creating duplicate contacts?

Yes, and it is one of the most common things we are called in for. It is almost always an identity and matching problem rather than anything unusual, and it is fixable.
